How to use AI to Enrich Information Management -


Organizations should go beyond using artificial intelligence (AI) for simple content classification and optical character recognition (OCR) processes. In fact, if appropriately used, the massive volumes of content and data that already exist within most organizations could well become a veritable gold mine. AI can help organizations unearth value from their digital landfills by enriching metadata, identifying important content and data, weeding out unwanted information and content, and training and deploying AI models. For instance, in traditional enterprise content management (ECM) systems, only a limited and fixed set of metadata attributes or tags can be associated with each document. However, metadata schemas in an AI-infused Content Services Platform (CSP) are flexible and extensible. In addition, much more metadata—image resolutions, the language of a document, geophysical data, and more—can be stored and used.

This enhanced ability to leverage metadata effectively is a distinct benefit AI adds to a CSP over traditional document management and ECM systems. Furthermore, the ability to add metadata schema to legacy content from the CSP without making any changes to the legacy system is a significant capability when combined with AI.

Similarly, with an AI-driven engine, it becomes simpler to classify the content within legacy systems. Furthermore, these sophisticated engines can go beyond identifying the type of document to building AI models based on content specific to an organization. Typically, AI-driven engines can deliver much more detailed classifications than those offered by generic classifications.

Additionally, by leveraging AI-classification of content with a CSP, a majority of redundant, trivial, or obsolete content can be determined and eliminated. In addition, AI can be used on the remaining content to identify the type of content, match content to the retention rules, and make recommendations to the relevant staff. This makes the whole process of identifying, declaring and managing records straightforward, scalable and cost-effective.

Beyond all these differentiators, the key benefit AI brings to an organization is the ability to train and deploy custom AI models. This means the AI engine can provide accurate data about a document or an asset, and subsequently extract this information and apply it as metadata. Automated entity extraction using business-driven AI offers enhanced value by delivering more attributes, with greater accuracy, and at a much faster pace than ever before. The fact the metadata attributes are specific, and instantly provides more value—for example, tags with detailed product names, part numbers, customer accounts, etc., This, in turn, drives applications such as automated image and content capture; automated launching of workflows and related business processes; and associating new content or assets with pending tasks or work assignments.
